Which documents are required for spare parts?
In automotive, documentation serves two purposes: showing that the part is the right part and that it is legal to sell . For safety-critical parts the second is mandatory; we establish what each part needs at the request stage.

OEM number and equivalent matching The part is matched by catalogue reference against the genuine number. The quotation states both the OEM number and the equivalent's own code — we do not open an order without the two numbers side by side.

E mark and ECE approval An E mark is required on lighting, mirrors and glass; ECE R90 on replacement brake pads; ECE R117 on tyres. Without these approvals a part can be turned back at customs when sold into Europe.

IATF 16949 The automotive industry's quality management standard. It is held by facilities supplying original equipment manufacturers, and it is the first condition we check when selecting an aftermarket supplier.

Declaration of conformity and warranty terms The manufacturer's declaration of conformity, the warranty period and its scope are attached to the order documents. Who carries the warranty — manufacturer or supplier — is stated in the contract.

Packaging, labelling and barcodes Individual boxes per part, the OEM number and equivalent code on the label, plus EAN barcodes and your own branded packaging on request.

Origin and movement documents Certificate of origin, A.TR for the EU, EUR.1 for countries with a free trade agreement. On mixed loads, origin is broken down per part.
Typical working terms
The table below shows customary practice in the automotive group; the terms applying to each order are set out in the written quotation.

Where do we source spare parts from?
There is no single right source in automotive: between the genuine part, the European equivalent, the Turkish aftermarket product and the Far Eastern equivalent there is a serious price gap. We show you all four.
Depth of the supplier base
Türkiye has a supplier base that produces original equipment for the world's major vehicle manufacturers. Bursa, Kocaeli, İzmir and Ankara are the centres of that production.
What this means in practice: you can buy the part that comes off the same line as a spare — at genuine quality, without paying the genuine price.
From number to part
Usually you have just one thing: an OEM number. Our job is to start from that number and work out which brands make an equivalent and what each one costs.
The quotation lists two numbers side by side: the genuine number and the equivalent's own code. Most of the risk of buying the wrong part is closed off at this step.
Flexibility on mixed loads
Spare parts buyers usually order many items in small quantities : a hundred different parts, a few dozen of each. That cannot be solved with one manufacturer.
We collect from several manufacturers, consolidate into one container and ship with a packing list broken down by part. Sorting at customs and in the warehouse is done from that list.
Sourcing from outside Türkiye
If a genuine part or a specific European brand is required, the source is Europe; on very high volume standard items (filters, bulbs, wipers) the unit price is lower in the Far East. In both cases we use our global supplier network .
The method does not change with the source: two numbers side by side, samples compared, packing list broken down by part. Your point of contact stays the same.
Most common questions in spare parts sourcing
We have an OEM number — can you find the equivalent?
Yes — that is usually where the job starts. From the genuine number we work out which aftermarket brands make the part and tabulate brand and origin options with the price difference.
It also works without a number: matching can be done from the vehicle make, model, engine type, year of manufacture and chassis number. A photograph of the part you hold also helps.
Do you supply genuine or aftermarket parts?
Both. For the same part four options usually emerge: genuine (in the vehicle brand's packaging), the OE manufacturer's own-brand product, a well-known European aftermarket brand, and an economy equivalent.
The price gap between them can reach three or four times. We do not decide which suits your market — we list all four and you choose.
Can we mix different brands and parts in one container?
You can — in spare parts that is the norm. We collect from several manufacturers and consolidate into a single shipment.
The packing list is critical here: number, quantity, carton and origin are written on a separate line for every part. Because the customs declaration and warehouse intake both run off this list, a sloppy one means delay.
Are approval certificates mandatory for parts such as brake pads and headlamps?
For sales into Europe, yes. ECE R90 approval is required for replacement brake pads and pad sets, an E mark for lighting and mirrors, and ECE R117 for tyres.
Without these approvals a part can be turned back at customs, or create liability once it is put on sale. State the destination country in your request and we will work out what each part needs.
Do the parts carry a warranty?
The warranty period and scope vary by manufacturer and part group; they are agreed in writing before the order and attached to the contract.
What really matters here is who carries the warranty and how the process works if a faulty part turns up. We put this in writing at the outset; a warranty discussed after the fact rarely works.
Can we have packaging made under our own brand?
You can. Private label is common in spare parts: box design, logo, label layout and barcode are printed under your brand.
The label must carry the OEM number and the equivalent code together, and any approval mark (E mark, R90) must appear on the packaging. We check the artwork before printing.
Do you also supply commercial vehicle and machinery parts?
We do. Spares for trucks, tractor units, buses, trailers, tractors, forklifts and construction machinery are in scope; filters, pads, hydraulic parts and electrics are the most requested in this group.
Because commercial vehicle parts are heavy and bulky, the shipping plan is set up differently from passenger car parts; we optimise packaging and pallet dimensions to container fill.
Will you source a spare part that is not available in Türkiye?
We do. Clef Trade is based in Türkiye, but sourcing is not limited to Türkiye; if the part is not made here, or the brand you want is not available in Türkiye, we obtain it from European and Far Eastern sources through our global supplier network.
The process stays the same: cross-referencing, sampling, inspection, certification and shipping run from a single point. When the origin changes, customs duty and required documents change too; we show the comparison in writing in the quotation.
